How It Works: Protected, Stage by Stage
This page follows one document — a new employee's HR file — through its life on Outcome Cloud™, naming the protection applied at each stage. The stages are the same for a contract, a claim, or a patient document; what changes is the rules, not the protections.
Intake: it never sits in an inbox
The file begins as a completed onboarding packet — forms, identification copies, a signed offer letter — submitted through a portal and captured the moment it lands. Arrival is intake: the packet enters one governed queue under the platform's single security model, with an identity and a timestamp.
The protection here is what doesn't happen. The file is not an email attachment waiting to be forwarded, not a scan on a desktop, not a copy in three places by Friday. From this point on, its location and status are always known.
Classification: the right rules attach automatically
MaxxOwl™ SI reads the packet and classifies each piece — this is an I-9, this is a signed policy acknowledgement, this is a direct-deposit form — and extracts the data each carries. Classification is a security step, not just an organisational one: because the platform knows what each document is, the access and retention rules for that document type apply immediately.
An employee file is visible to the roles that work with employee files. It is not visible to everyone with a login, and it is never exposed simply because it was stored next to something public.
Validation: checked before it is trusted
Before anyone acts on the file, its contents are checked: required forms present, signatures in place, dates and fields complete and consistent. Anything missing or mismatched is flagged as an exception, with the specific reason recorded.
Every check — passed or flagged — is written into the record's audit history. Months later, the answer to "was this verified, and by what?" is in the history, not in someone's recollection.
Resolution: only the right eyes, and a recorded decision
Suppose one form is unsigned. The exception is routed in Outcome Workspace™ to the HR staff whose role covers this employee's file — not broadcast to a department, not sent back over email. The reviewer sees the document and its extracted data side by side, sends it back for signature, and records the decision with a name and a timestamp.
Access during resolution follows the same role-based permissions as everywhere else on the platform, and the resolution itself becomes part of the file's history: who handled it, what was decided, and when.
Repository: retained under policy, provable on demand
Complete, the file is retained in the Outcome Repository™ — one governed home with retention enforced by policy, kept in the AWS region you choose. It stays searchable under the same security model: findable in seconds by the people permitted to see it, and invisible to everyone else.
Its complete audit history travels with it: arrival, classification, every check, the exception, the resolution, the approvals. If an auditor, a regulator, or the employee asks what happened to this file, the record answers — where it went, who could see it, and the proof, all in one place.
The history is retained under the same policy as the file itself. A trail that expired before the question was asked would be an anecdote, not evidence — so the record and its history live exactly as long as your retention policy requires.
The same protections, whatever the document
Swap the employee file for a patient document and the stages hold: controlled intake, classification, validation, resolution by authorised people only, and retention in the repository — for healthcare, as HIPAA-compliant document management, with a BAA available and hosting on AWS under a signed AWS BAA. Swap it for a contract or a claim and the same is true. The rules change from process to process; the protections don't.
